Claude AI pricing: Team seats and Copilot for small teams

By Renzo Demartini, Chartered Accountant ·

Drafted with AI, reviewed and spot-checked by me.

A wholesaler (sample) has 5 staff on customer replies. Four Standard seats and one Premium seat total US$2,160 a year. Tax, existing licences and extra usage sit outside the seat price. A salesperson checks each reply draft before it goes out. Seat price is not the bill.

Claude AI pricing looks simple: a price per seat. A wholesaler (sample) with 5 staff wants faster customer replies, and the subscription is only part of that decision.

The short answer: Claude Team Standard seats are US$20 a month billed yearly or US$25 monthly, before tax; compare seats, existing licences and usage charges together.1 This guide covers small-team plans: Claude Team, ChatGPT Business and Microsoft Copilot.

At the end of the day The test of a plan is a reply a salesperson is happy to send, not the price of the seat.

Prices were read on 31 October 2026. The US$ figures are reference prices, not verified Australian checkout amounts. Claude’s prices exclude applicable tax and Microsoft’s exclude GST.123 OpenAI lists its prices in USD and says they “may vary by country and currency”; its pricing page shows no tax note.89 Claude Team and ChatGPT Business each need at least 2 seats,8 and the Microsoft bundles include the underlying plan while the add-on does not.

The Copilot add-on needs an eligible Microsoft 365 Business plan. Microsoft offers its discount to customers who buy between 1 July and 31 December 2026; it needs an annual commitment and applies to the first year only.3

A worked example on sample data

Four Standard seats and one Premium seat cost US$2,160 a year

Claude Team lists these Standard and Premium seat prices. Tax and extra usage are not included.

Illustrative figures, not client data.

Sample data, not a client’s. For the sample wholesaler, four Standard seats and one Premium seat cost (4 × US$20 + US$100) × 12 = US$2,160 a year on Claude Team. That is subscription arithmetic only, before tax and extra usage are added.1 Keep currencies separate, and use the automation cost guide to put implementation and running costs beside the subscriptions.

Claude Team

Usage limits apply to each member. The team can add usage credits to keep working.

ChatGPT Business

Instant chat is virtually unlimited. Reasoning, Pro, Work and Codex are not.

Microsoft Copilot

Everyday AI is in the licence. Selected advanced experiences are billed by usage.

Claude’s Team page says usage limits are per member, and a team can add usage credits to keep working.1 Team plans also include monthly API credits for building your own tools. They need an eligible plan and a linked Console organisation, and they “don’t change your usage limits in Claude, Claude Code, or Claude Cowork”.4

Microsoft says “More advanced AI experiences are billed based on usage”, including Copilot Cowork, Code, Autopilot and the Work IQ APIs.3

OpenAI says “Virtually unlimited access applies to Instant chat” on ChatGPT Business, but “It does not make reasoning, Pro, ChatGPT Work, Codex, or other tools unlimited.”10

Check data settings before connecting

Claude Team

No training on commercial inputs or outputs by default. Feedback you send can be used.

ChatGPT Business

Business data is not used for training by default. Data you opt in to share is the exception.

Microsoft Copilot

Prompts, responses and Microsoft Graph data are not used to train foundation models.

Anthropic says it will not use inputs or outputs from its commercial products to train its models by default. Feedback you send, or data you choose to allow, is an exception, and a Team owner can switch the feedback button off.5 OpenAI says: “By default, we do not use your business data for training our models.” Data you explicitly opt in to share is the exception.11 Microsoft makes a similar commitment.6 Training policy is only one check, so also inspect retention, connected accounts and who can retrieve each document. Start with sample enquiries and approved product information.

A checklist before buying

Know the price

Annual billing lowers the seat price; Claude Team and ChatGPT Business each need 2 seats.

Know what you hold

The Copilot add-on needs an eligible Microsoft plan. Set a spending limit before anyone connects a tool.

Test with sample enquiries

Use the same pack on every shortlisted plan. One person owns what goes to a customer.

This is a working checklist, not a savings claim. I would record the corrections, review time and extra usage for each plan, using the same enquiry pack throughout.

The full checklist, six checks
  1. Confirm seats and billing term. Annual billing lowers the seat price; Claude Team and ChatGPT Business each need 2 seats.
  2. Inspect checkout tax. See the amount payable at checkout, in your currency.
  3. List existing licences. The Copilot add-on needs an eligible Microsoft plan.
  4. Cap extra usage. Set a spending limit before anyone connects a tool.
  5. Test sample enquiries. Use the same pack on every shortlisted plan.
  6. Name a reviewer. One person owns what goes to a customer.

You decide

A salesperson checks stock, terms and recipients. An administrator owns access and spend.

I keep prices and totals in rules. Claude drafts the reply, and your team checks stock, terms and recipients before anything is sent to a customer. The Enquiry and Quote Follow-up build does this for A$4,900 (AUD, no GST charged).7
