Unbilled variations: how much are you giving away?
Extra work agreed on site that never makes it to the invoice is money you have earned and will never see. Put in your own numbers and see what it adds up to over a month and a year. Nothing you type here is sent anywhere.

Your numbers
Four figures from a normal month. A rough guess is fine: the point is the size of the leak, not the cents.
Unbilled each month
A$1,488
Over a year: A$17,856
About 10 missed extras a month
If a check before invoicing caught them all, an Invoice Check at A$3,900 would pay for itself in about 2.6 months.
A rough guide from your own figures, not a promise of what any build recovers. In practice a person still decides whether each flagged extra belongs on the invoice.
The payback above is cash only, and counts the build price, not the running costs. Hours your office saves checking are not added to it. Hours saved and dollars saved are counted apart. Beside them are the running costs: optional support from A$350 a month, and software and AI usage paid to the providers. Running costs (software and AI usage) are estimated in your audit, before you commit to a build.
Where extras slip through
- The customer asks for one more power point while the electrician is there. It is agreed on the spot and done.
- The extra is noted on the job, or only remembered, but never added to the quote.
- The office builds the invoice from the quote, so the extra never makes it across.
No one did anything wrong, and no one notices. The work is done, the customer is happy, and the money stays on the table. Multiply that across every crew and every week and it becomes a real number.
What catches it
A check before the invoice goes out. Invoice Check reads each completed job against its quote and timesheets in Simpro, ServiceM8 or AroFlo and flags anything new before the invoice reaches Xero or MYOB. A person approves each flagged invoice, so nothing is added without someone deciding it belongs there.
