An n8n consultant for Australian businesses, at fixed prices
Need an n8n consultant or n8n expert in Australia? I am Renzo Demartini, a Chartered Accountant in Canberra, and I design and build n8n workflows at a fixed price. Connect your forms, spreadsheets, email and business software around a result your team can check: a finished KPI, a checked invoice or an enquiry with a clear owner.
Fixed price, in AUD, no GST charged.

Keep the software that already does its job
The first question is whether an existing feature or built-in connection already solves the problem. If it does, use it. I will say so in the audit.
A custom workflow earns its place when you need:
- information gathered from several sources
- an approval step in the middle
- a reliable path for exceptions
- a result that the existing connection does not produce
This is a service for a scoped business process. It is not a claim to connect every product, and it is not a partner-certification claim.
What n8n does, and what it does not
n8n coordinates the steps. It moves information between your systems on a trigger, in order, and logs what happened. Where there is no ready-made connection, n8n can call a system's API directly.
In every workflow, the work is split like this:
- n8n and APIsCollect records against a reference and carry the result between the systems you allow
- Agreed rulesCalculate amounts, validate matches and check for duplicates
- AIInterpret free text or draft a reply, where it adds something
- A personApprove what matters. Missing evidence is not treated as approval
- OutputA finished result, or an exception task that says why it stopped
Not every workflow needs AI. Fixed rules are usually a better fit for totals, dates, approved rates and predictable routing.
Paid n8n work: KPI automation for two named businesses
Paid client work Elliotts Landscape and Harrys Tyres. Two builds, one for each business. Both businesses agreed to be named.
For each business I built a Jotform KPI form, Airtable for employee details and KPI calculations, and n8n to process each submission. n8n reads the employee's details, sends automatic emails to the employee and to management, and writes the final KPI back to Airtable.
Before: about 4 hours each month and countless emails, for each business. After: one click per KPI submission.
Not measured: revenue and financial return. The 4 hours is my estimate of the effort before each build, so it is time saved, not cash saved. Hours saved and dollars saved are counted apart. Beside them are the running costs: optional support from A$350 a month, and software and AI usage paid to the providers. Running costs (software and AI usage) are estimated in your audit, before you commit to a build.
This is the fixed-price KPI Report: A$4,900, 3 weeks.
From scattered job details to an invoice someone can check
- Job completedWebhook
- Get job recordsHTTP Request
- Describe the workClaude (Anthropic)
- Check customer, rates, duplicateIf
- Approve extra workWait for a person
- Create draft invoiceXero
The result is a draft invoice with its supporting references, or an exception task that explains why it stopped. Sample data. Simulated. No accounts connected.
This pattern is Simpro to Xero invoice automation, the Invoice Check build, at a fixed A$3,900.
Map it. Test it. Hand it over.
Map the hand-over.
We agree the trigger, who owns the data, where a person approves and what a useful result looks like. We check your existing software before adding anything.
Test the uncertain cases.
Missing information, conflicting matches, duplicates and a failed connection go into the acceptance criteria, in writing, before I build.
Deliver and hand over.
I build it, test it against the criteria and hand it over. You have 30 days of fixes.
Example: acceptance tests for the job-to-invoice workflow above. Illustrative, not a client's results.
| Test case | What the workflow does | Who acts |
|---|---|---|
| The same job is sent twice | Stops before Xero. An exception task names the invoice already raised. | Whoever owns invoicing closes the task. |
| A required field is missing, such as the customer or an approved rate | Stops and creates an exception task that names the missing field. Nothing is guessed. | The job owner fills the gap, and the workflow runs again. |
| Extra work has not been approved | Waits. Missing approval is not treated as approval. | The approver approves or rejects it. |
| Xero does not answer | Retries as agreed, then sends an alert. No draft invoice is half-made. | The named person is alerted and uses the manual fallback. |
The tests for your build are agreed in writing, in its scope, before I start.

When it breaks
- Who is alerted
- The alerts, who receives them and who is accountable are agreed before release. A failed step and a failed connection are in the test plan, with a manual fallback so the team can carry on the current way.
- Who fixes it, first 30 days
- I do. For 30 days after delivery I fix problems against the written acceptance criteria. It is part of every build.
- After 30 days
- The optional Care plan (A$350 a month) covers monitoring and fixes, with 30 days' notice to cancel. Improve and Partner include Care monitoring.
- Without a plan
- The workflow runs in accounts in your name, with a written hand-over another developer can follow.

About RenzoThe same approach runs an agentic finance system I built: 30 agents, about 10,000 automated tests, and a person approves every money decision.
Need an n8n consultant or n8n expert in Australia or NZ?
Renzo Demartini: Chartered Accountant (CA ANZ), MBA, Xero certified, 16 years across finance, operations and systems. I am based in Canberra and work remotely with businesses across Australia and New Zealand. I design, build and test the workflow myself, from the audit call to hand-over. Prices are in AUD. New Zealand clients are quoted in AUD.
Before you commission an n8n workflow
Can you work with our mix of systems?
I first check their APIs, permissions, limits and data structure. Where a ready-made connection does not expose the fields you need, custom API work may help. Some systems or licences restrict what is possible. Those limits go in the scope.
Does it connect to Simpro, ServiceM8 or AroFlo?
I check what your account's connections and API allow. Where there is no ready-made connection, n8n can call the API directly, if your plan permits. I will tell you in the audit if it does not. For the detail, see the Simpro API with n8n, a worked example. See also Simpro to Xero invoice automation and job profitability reports.
Does every workflow need AI?
No. Use AI for interpretation or drafting where it adds value. Fixed rules are usually better for totals, dates, approved rates and routing.
Who owns the accounts and the workflow?
The proposed approach is business-controlled accounts and documented access. Who hosts n8n, who owns the workflow files and the hand-over rights are stated in the quote. Third-party software and AI licences stay subject to their own terms.
What happens if a step fails?
We agree the alerts, the retry behaviour, duplicate protection, a manual fallback and who is accountable before release. Support after the first 30 days is an optional plan (Care, A$350 a month, 30 days' notice).
Are you an n8n partner or certified?
I make no partner or certification claim. What I can show is paid n8n work: the KPI builds above.
Do you work with New Zealand businesses?
Yes, remotely. I am based in Canberra. Access, review sessions and hand-over are arranged around your team. How I work with New Zealand businesses
What should I put in an enquiry?
One repeated hand-over, the systems involved and the result you want. Please do not send confidential records or passwords.
