For accountants and bookkeepers: take the weekly re-keying off your clients

One workflow, at a fixed price, on the software your client already runs. You stay their accountant, bookkeeper or BAS agent. I never do their tax, BAS, payroll or bookkeeping.

Send a client this page, or ask them to use the form. A free fit check by email first. AUD, no GST charged.

What I take off your clients' hands

The weekly job where someone types the same data into a second system, on software your client already runs.

  • Invoices from job software such as Simpro, ServiceM8 or AroFlo, checked before they reach Xero, MYOB or QuickBooks.
  • Supplier bills keyed in, coded and chased for approval by email.
  • Hand-offs between payroll or timesheet software and the accounts, checked for gaps. The payroll run itself stays with whoever does it today.
  • Enquiries and quotes in a CRM or an inbox that wait for a follow-up.
  • Online store orders and payments that do not match what reached the accounts.
  • Weekly and monthly KPI and job-profit numbers assembled by hand from several screens.

I do not ask the client to change software. I start with what they run and check what it can already do.

How a referral works

The free fit check by email comes first, then the audit, then a fixed-price build, if the client wants one.

  1. You introduce the client, or send them this page.

They send the enquiry form, or you email hello@worksbetter.ai with their agreement. It asks for their software, the workflow, their team size and their timing.

  2. The free fit check, by email.

I check the workflow, the software and the timing and tell you whether it is a fit, usually with a question or two. No call needed. It costs nothing.

  3. The A$990 Workflow Audit.

A 60-minute call, a read-only review and a written report in 5 working days of access being granted: the top 3 candidates, each with a fixed quote. It is credited in full to a build signed within 30 days.

  4. A fixed-price build.

Written acceptance criteria, 30 days of fixes and a written hand-over. It runs in accounts in the client’s name.

Builds a client could choose after the audit, AUD, no GST charged
BuildPriceTime
Invoice Check A$3,900 2–3 weeks
Enquiry and Quote Follow-up A$4,900 3 weeks
Job Profit Report A$5,900 3–4 weeks
KPI Report A$4,900 3 weeks
Custom build From A$9,500 4–8 weeks

Hours saved and dollars saved are counted apart. Beside them are the running costs: optional support from A$350 a month, and software and AI usage paid to the providers. Running costs (software and AI usage) are estimated in your audit, before you commit to a build. All prices

One example of the kind of fix

Invoices from job software, checked before they reach Xero. Anything that does not match waits for a person.

Sample data: four invoices, invented to show the check

Four sample invoices from job software, checked against Xero before posting
InvoiceJob software totalXero draftCheck result
INV-1041 (sample)A$2,310.00A$2,310.00Matches. Ready for a person to approve
INV-1042 (sample)A$890.00A$980.00Amounts differ by A$90.00. Held for a person
INV-1043 (sample)A$1,450.00Same job and amount already in Xero as INV-1031 (sample)Possible duplicate. Held for a person
INV-1044 (sample)A$640.00A$640.00One line has no tax code. Held for a person

On these sample invoices, 1 of 4 is ready and 3 are held for a person. Nothing is posted until a person approves it. The invoices are invented and are not a client’s. The Invoice Check build, A$3,900

What I do, what I do not, and who stays whose

The client stays your client. The compliance work stays with you.

What Works Better does

  • Builds one workflow, at a fixed price, on the software the client already runs
  • Reviews their systems read-only, with the access agreed in writing first
  • Runs the workflow in accounts in the client’s name, with a written hand-over
  • Keeps a person approving anything that posts, sends or pays

What Works Better does not do

  • Tax advice, tax returns or any tax agent service
  • BAS and GST preparation or lodgement
  • Payroll processing
  • Bookkeeping, or any compliance work or sign-off

The client stays yours. I do not take on, or offer, the client’s accounting, tax, BAS, payroll or bookkeeping. They are your client before the audit, and they are your client after the build.

About the tax adviser line. I am a Chartered Accountant (CA ANZ), and I worked as a tax adviser for 10 years. That is experience only, so I understand what your clients’ records have to do. It is not an offer of tax agent services.

Which clients to introduce

A good fit if

  • Someone re-keys or checks the same data between two systems every week
  • They run Xero, MYOB, QuickBooks, job software, payroll software, a CRM or an online store
  • They are in Australia or New Zealand

A poor fit if

  • They want someone to do their bookkeeping, BAS or payroll
  • They want their accounting software replaced
  • The problem is the whole business, not one workflow

Questions from accountants, bookkeepers and BAS agents

How do I refer a client?

Send the client this page, or ask them to use the enquiry form on it. The form asks for their software, the workflow to fix, their team size and their timing, and I reply by email, usually with a question or two, and tell them whether it is a fit. A client's first step is the free fit check by email, with no call. You can also email hello@worksbetter.ai. Share a client's details only with their agreement, and please send no passwords or confidential records.

Does the client stay my client?

Yes. Works Better builds one workflow and nothing else. I do not take on the client's tax, BAS, bookkeeping or payroll, and I do not offer those services to them. The client's accounting stays with you.

Do you do tax, BAS or other compliance work?

No. I am a Chartered Accountant (CA ANZ), and I worked as a tax adviser for 10 years. That is experience only. I do not offer tax agent services, and nothing on this site is tax advice. A workflow can check or move data. It does not prepare or lodge a return, a BAS or a payroll run, and it does not replace your advice or your judgement.

What does it cost the client?

The free fit check by email costs nothing. The Workflow Audit is A$990 fixed and credited in full to a build signed within 30 days. Builds are fixed-price, from A$3,900, and custom builds are from A$9,500. Prices are in AUD, no GST charged. Beside them are the running costs: optional support from A$350 a month, and software and AI usage paid to the providers, which the audit estimates before the client commits.

What access do you need, and who owns the workflow?

The audit is read-only, with the access agreed in writing before any work starts. Builds run in accounts in the client's name, so the data stays in their systems, and they get the logins and a written hand-over. A person approves anything that posts, sends or pays. The written report is the client's whether or not they build with Works Better, so they can share it with you before deciding.

Can I see an example first?

Yes. A sample audit report for a made-up accounting firm shows the format of what the audit delivers, and the Invoice Check page shows the kind of fix above. Every name and figure in the samples is invented and marked as a sample.
