Employment Hero rostering saves time when a template fills the week. It also lets a mistake land on every employee’s phone. A shift loaded twice, or on the wrong day, looks fine until a crew member turns up.
The short answer: after loading a template, compare the week with the shifts you meant, publish only those, and then check that each employee can see theirs. Employment Hero says employees are notified of scheduled shifts “through the rostering app”,1 so the receipt check belongs after publishing.

Load the week you intended
| Shift | Date | Employee | Time | Meant? |
|---|---|---|---|---|
| R-01 | Monday 16 November | Crew A | 7 am to 3 pm | Yes |
| R-02 | Tuesday 17 November | Crew B | 7 am to 3 pm | Yes |
| R-03 | Wednesday 18 November | Crew A | 7 am to 3 pm | Yes |
| R-03 again | Wednesday 18 November | Crew A | 7 am to 3 pm | No: remove |
Sample data, not a client’s. Employment Hero’s rostering page says you can “duplicate rosters in a few clicks” and use roster templates.1 Check every date, employee and time against your plan. Each sample shift runs 7 am to 3 pm with a 30-minute break. These are planning quantities, not pay.
Publish only the intended shifts
Shifts · orange: one too many
R-03 is on the roster twice for Crew A on Wednesday.
Illustrative figures, not client data.
Remove the second R-03, then publish the three shifts you meant. Employment Hero says the roster “will automatically detect public holiday rates, overtime, leave, and unavailability”.1 Look at any flag before you publish. A flag is a reason to ask, not a verdict.
Employment Hero’s staff rostering template page gives a best practice of “at least seven days’ notice before a new roster starts”, and says to check any modern award that applies to you.2 For the week of 16 November, that points to publishing by Monday 9 November.
Check what each employee sees
| Shift | Office state | Employee check | Outcome |
|---|---|---|---|
| R-01 | Published | Confirmed | Pass |
| R-02 | Published | Confirmed | Pass |
| R-03 | Published | Waiting | Hold |
Record receipt apart from publication. An office status shows what the office did, not what an employee saw. Ask each crew member to open the shift in the app and confirm the date and time. Keep the hold on R-03 until Crew A has checked the current shift. The register is your own record, not a vendor status.
Change one published shift
| Version | Action | Time | Check |
|---|---|---|---|
| A | Original, published | 7 am to 3 pm | Crew A confirmed |
| B | Changed and published again | 8 am to 4 pm | Crew A confirms the new time |
Keep both versions in your record. Employment Hero’s template page says modern awards “often require” a certain amount of notice before a roster is changed.2 Check your award, and ask an adviser about your obligations. Check the new time, not only the old message.
The checklist before the week starts
- Range. The loaded dates are 16 to 20 November.
- Shifts. Three intended, three published, none twice.
- Employees. Crew A has two shifts and Crew B has one.
- Receipts. All three shifts confirmed by their employees.
- Changes. Every changed shift is rechecked by its employee.
Planned shifts only: nothing here approves worked hours or sets pay. Time saved and cash saved are both unmeasured, and the running costs sit with your Employment Hero plan and any support you buy.
Where a person stays in charge
Rules check
Dates, employees and counts against the shifts you meant, the same way every week.
Claude drafts
A one-line change note for the crew. It never publishes a roster.
You decide
The roster owner decides who works and when it is published.
Rules can count shifts and compare dates against your plan, and I build that kind of workflow around the software you already run. Who works stays with the roster owner. If you wanted the comparison built, it would be quoted as a Custom build, from A$9,500 (AUD, no GST charged).3
Not sure which step to tighten first? A Workflow Audit costs A$990 (AUD, no GST charged). It is a 60-minute call, a read-only review of your systems and a written report, with a fixed quote for each of the top 3 things worth automating.3 Start with a free fit check by email at the foot of this page.
Questions
Does loading a template publish the shifts?
Treat it as a draft. Publish only after you check the week, then check each employee’s receipt.
How much notice should a roster give?
Employment Hero’s template page says best practice is at least seven days’ notice, and to check any modern award that applies.2
Do I need a separate tool to run this check?
No. The plan, a copy of the loaded roster and a shared sheet are enough to start.
