AI receptionist Australia: a trade business handover

By Renzo Demartini, Chartered Accountant ·

Drafted with AI, reviewed and spot-checked by me.

Call C-101 asks for a tap repair. The AI agent saves a message to the Inbox. The office manager takes the message. A person approves, then creates Job 2101. No appointment is promised yet. Call captured. The booking still needs a person.

The phone rings while the crew is on a roof, and the next call goes to voicemail. An AI receptionist in Australia can answer it, but an answered call is not a booked job. This post follows one sample call from the phone to the office.

The short answer: let the AI receptionist answer from the FAQs you wrote and save a message. Then let your office check it, create the job and confirm the time. Start with overflow or after-hours calls.

Call C-101 comes in. A sample caller asks for a tap repair, mornings preferred. The call is answered from the FAQs you approved.

Recorded and saved to the Inbox.

The AI turns the call into a message. The AI agent writes the request into fields. It decides nothing, and it does not read your existing job data.

Rules check the message. The same checks for every call: is it in your service area, is it a new job, is it a safety concern?

Create Job 2101 from call C-101?

Checks passed. The booking is still the office’s decision.

Job 2101 is created, awaiting allocation.A callback is assigned to a person. The office writes the job from the message. The scheduler allocates it, and a person confirms the time with the caller. The office manager rings the caller to check the scope. The job is created after that call, if at all.

End of the day An AI receptionist answers from the FAQs you wrote and saves a message. Rules check the message, and the office decides whether to create a job. It never confirms a booking, quotes or sends an offer.

These are demonstrations. They use sample data and simulated Claude steps. Nothing connects to your accounts, sends a message or changes a record.

Choose how the call is handled

AI receptionist

Answers from the FAQs you wrote, takes messages and transfers calls to staff.

Human service

Answers questions about your business, takes messages and tries to transfer selected calls.

Missed-call text back

Acknowledges the missed call. The conversation and the booking still need staff.

ServiceM8 says its Phone Agent can take messages into your Inbox and transfer calls to the right staff.1 OfficeHQ describes human answering with messages and transfers.2 OfficeHQ’s page does not say it creates the job. ServiceM8’s agent can submit an online booking, so check what that booking creates in your account.

For a trade business, choose the handover before the voice. Keep diagnosis, firm quotes and arrival promises with your people.

Give the AI a narrow job

Service area

Answer from a suburb list you approved. Anything outside it goes to the office.

Tap repair

Capture the request for office review. Do not diagnose or give a firm quote.

Existing booking

The agent cannot see job information, so it transfers or takes a message.

Safety concern

Follow your approved escalation procedure, and put a person on the call.

ServiceM8 says the FAQs you set are the agent’s “source of truth”, and it “won’t pull details from your website, ServiceM8 job data, or anywhere else”.3 Its test guidance adds that the agent “does not have access to job information”.4

The same page says all calls the agent answers are recorded, and that your laws “may require” you to tell callers they are speaking with an AI agent.4 Ask a qualified adviser to check that before you go live. The agent can also submit an online booking for the caller, so decide whether you want that switched on.1

Keep a person on the handover

Call C-101

The message the AI agent saved: a tap repair, morning preferred. Owner: the office manager.

Job 2101

Created by the office after it checks for an existing job. The scheduler allocates the work.

The office confirms the request, checks for an existing job, then creates the record. ServiceM8 Phone lets staff “create a new job directly from an active or recent call”.5

OfficeHQ offers Zapier triggers for a completed call and a sent message.6 That does not prove a ready-made ServiceM8 job connection. Keep manual entry until the exact connection passes your tests. A text reply left unread is still unfinished work.

Count the office time

In the sample, text back leaves more office time than answering every call

Office hours · orange: above baseline

Hours after setup, from timings invented for the sample. Replace them with your own.

Illustrative figures, not client data.

Sample data, not a client’s. The baseline is 100 calls of 3 minutes each, which is 5 hours. The other bars add review, checking and upkeep time, and the arithmetic is below. These are hours, not dollars. Dollars saved: not measured.

The sample timings, route by route

AI receptionist, 3 hours. 100 reviews of 1 minute, a 20 minute quality check and 60 minutes of upkeep make 180 minutes.

Human service, 1.5 hours. 100 reviews of 0.5 minutes, a 10 minute check and 30 minutes of upkeep make 90 minutes.

Text back only, 5 hours 40 minutes. 100 callbacks of 3 minutes, a 20 minute queue review and 20 minutes of upkeep make 340 minutes.

Running costs sit beside any saving. The Phone Agent is available on ServiceM8’s Connect Plus plan and its revised Unlimited plan for ServiceM8 Phone, so your plan is a cost.1 Add the receptionist or text service, transfer charges and upkeep. Get each supplier’s price in writing.

Test the exceptions and the text

  1. Repeated call. C-101 rings twice and creates one job with the call history linked.
  2. Staff unavailable. A callback is assigned to a named person.
  3. Unknown question. The agent invents no answer and takes a message.
  4. Text with an offer. It is held for a consent and wording check.

ServiceM8 gives each Phone Agent mode a Test Call function.4 Also test unclear speech, interruptions and failed transfers.

A text can be a commercial message under the Spam Act 2003. That depends on its purpose, and offering or promoting goods or services counts.7 Keep the text to the caller’s request. This is general information, not legal advice, so ask an adviser about your exact message and consent.

What the Spam Act 2003 says

An “electronic message” includes one sent to “a telephone account”.7 The Act says “A person must not send, or cause to be sent, a commercial electronic message” with an Australian link unless the account-holder consented. Consent means “express consent” or “consent that can reasonably be inferred from” conduct and business relationships.

The message must clearly and accurately identify “the individual or organisation who authorised the sending of the message” and carry accurate contact information. It must also include a statement that the recipient “may use an electronic address set out in the message to send an unsubscribe message”.

Where a person stays in charge

Rules check

Service area, existing jobs and safety flags, the same way for every call.

AI answers

Answers the questions you wrote and takes a message. It never promises a time.

You decide

The office manager creates the job and a person confirms the appointment.

I build workflows that take an enquiry from a message to a job, with rules doing the checks and a person approving. The Enquiry and Quote Follow-up build costs A$4,900 (AUD, no GST charged). It drafts replies to enquiries from email, web forms and phone notes. It does not answer calls.8

If you are not sure where a call should land, start with a Workflow Audit for A$990 (AUD, no GST charged). It is a 60-minute call, a read-only review of your systems and a written report, with a fixed quote for each of the top 3 things worth automating.8 Start with a free fit check by email at the foot of this page.

Questions

Can an AI receptionist change an existing ServiceM8 booking?

ServiceM8’s guide says the agent does not have access to job information. Use a transfer or a message for the office instead.4

Does a human receptionist create the job automatically?

Not just because they answered the call. OfficeHQ documents messages, transfers and Zapier triggers, so check the job step separately.26

Can I add an offer to the missed-call text?

An offer can make it a commercial message. The Spam Act then asks for consent, sender details and an unsubscribe statement, so have an adviser review it.7
