Someone has told you to “just use Zapier”, or n8n, or Make, and every price page counts something different. This n8n vs Zapier comparison follows one sample job into Xero and shows the units, the hosting and who fixes a failed run.
The short answer: count the same 100 jobs in each tool’s own unit, then choose the one your named maintainer can fix. In this sample, n8n counts 100 executions, Zapier 400 tasks and Make 500 credits.123
Scene 5 of 5
Job 2101 is approved for invoicing. A sample job in the job register. The office has approved it, so one draft invoice can be prepared.
Then the same job arrives again. A repeat event sends Job 2101 a second time, as can happen after a retry or an edit. The register already holds draft INV-5101.

Rules compare the repeat with the register. The same checks every run: is the job already in the register, does customer C-101 exist, does the total agree?

A person chooses what happens next. A repeat never writes a second invoice. You choose: return the existing draft, or hold the repeat for the office.

Return INV-5101, or hold the repeat?
A second invoice would bill the job twice.
The existing draft is returned.Held for the office, with the reason recorded. No second invoice is created. Job 2101 stays linked to INV-5101. Approval and payment remain with a person. The repeat waits in the exception tray. A person checks why the event arrived twice.

How each tool bills and fails
| Decision | n8n | Zapier | Make |
|---|---|---|---|
| Bills by | Workflow executions | Successful actions | Credits |
| Data stored | Frankfurt, or where you host | AWS, United States | AWS, EU and North America |
| A failed run | Error workflow | Replay the failed step | Incomplete executions, off by default |
These are the vendors’ own statements.143 Hosting location does not map your whole data route, because Xero, your register and any AI service sit elsewhere. Self-hosted n8n also adds updates, backups and failure alerts to your own list of jobs. For a trade business, compare the work after approval, including failures and repeat events.
What the vendor pages say
n8n. “An execution is a single run of your entire workflow. It doesn’t matter how many steps are in the workflow or how much data it processes.” For hosted plans, “data is stored within the EU, on servers located in Frankfurt, Germany”.1 Without a licence key, n8n “runs as the free Community edition”.5 Its Xero node covers “creating, updating, and getting contacts and invoices”.6
Zapier. “A task is any successful action that runs in Zapier.” “All trigger steps” do not count.2 “Zapier stores data on Amazon Web Services (AWS) in the United States.”4
Make. Make says “most actions consume 1 credit”, and reading data from an app or webhook counts as one.3 Its Xero modules include Search Contacts and Create an Invoice.7
Xero examples. Zapier lists Xero workflows such as “Create Xero invoices from new Jotform entries”.8
Count 100 jobs three ways
% of allowance used · orange: about half
n8n counts runs. Zapier counts successful actions. Make counts the webhook read and each module.
Source: n8n, Zapier and Make pricing pages, read 31 October 2026. The usage counts are a sample model.
Sample data, not a client’s. The sample is 100 approved jobs a month. Each run checks a register for a repeat, finds the customer, prepares a draft invoice and records its ID. That is 4 actions. n8n counts one execution a run. Zapier counts 4 successful actions, and Make counts the webhook read plus 4 modules, so 5 credits.
The model assumes one item a run, with no retries, no repeat arrivals and no polling. Keep totals and references in rules, because AI is unnecessary for this handover.
What each price page shows
n8n Starter
Priced in euros, billed annually, with 2.5K workflow executions a month.
Zapier Professional
Listed from $19.99 a month in US dollars, for 750 tasks, billed annually.
Make Free
No charge for 1,000 credits a month. Its paid prices are left out: the page shows no currency code.
Read on 31 October 2026, in each vendor’s own currency, with no conversion.19103 No GST note sits beside these amounts, so treat them as subscription prices, not an Australian invoice.
Software is only one cost line, so add your Xero subscription, the maintainer’s hours and any hosting. Hours saved: not measured. Dollars saved: not measured.
Decide who fixes failures
n8n
An error workflow decides what happens when a run fails, such as an alert to a named person.
Zapier
Its help for a timeout error says you can replay the failed step. Autoreplay needs to be enabled.
Make
Incomplete executions are disabled by default. You enable storing them in the scenario settings.
Self-hosted n8n
Updates, backups and restore tests need an owner. That is your infrastructure person, not n8n.
Each tool documents its own recovery route.111213 Test the failure path before the normal path. Keep the job reference through every step. Check whether an invoice already exists before repeating a write. Name one person for every alert, and name another to cover their leave.
Run the acceptance tests
- Repeat job. Job 2101 sent twice creates one draft and returns the existing one.
- Missing customer. The job goes to the office with no invoice written.
- Connection down. An alert reaches a named person. Nothing is lost silently.
- Recovery without the builder. The person named recovers a failed sample alone.
For MYOB, name your exact product and the operation you need first. Do not copy this Xero example unchanged. Connector coverage and permissions need their own check.
Where a person stays in charge
Rules check
Repeat jobs, missing customers and totals, the same way on every run.
AI, if you add it
Not needed for this handover. If you add a description draft, meter it separately.
You decide
A named person approves the invoice and recovers any failed run.
I build workflows in n8n and connect them to Xero and other systems through their APIs. Rules do the checks, and a person approves the invoice. See the n8n workflow build for how that runs at a fixed price.

Questions
Is n8n cheaper than Zapier?
It depends on your run count, action count and upkeep. Their billing units differ, so a subscription figure alone cannot settle it.12
Is self-hosting n8n free to run?
The Community edition needs no licence key. Hosting and maintenance still need an owner and a budget.5
