Most MYOB vs Xero pages compare features. They rarely follow one invoice: who it went to, what the customer received and what a part payment leaves owing. That is the handover a trade office lives with every week.
The short answer: before you choose, run the same sample invoice through both products. Record four things: the intended billing contact, the copy sent, the copy received and the balance after a part payment. Both vendors document parts of it: MYOB in its help,1 Xero on its invoicing page.3 Your own acceptance sheet shows whether your office can follow it.

At the end of the day Steps 2 and 4 are decisions about who is billed and what is paid.
Give both products the same job
| Check | MYOB Business (browser) | Xero (Australia) |
|---|---|---|
| Where it goes | Send To field. You can add or change recipients.2 | “Approve and email”.3 |
| Your own copy | “Email me a copy”. The customer cannot see it.2 | Not on the page read. Test it. |
| What happened | Activity history shows Emailed, and when the customer viewed it.2 | Shows if an invoice “has been opened, when it was paid, or if payment is overdue”.5 |
| Part payment | “A full or part payment”, against the invoice you select.1 | Steps not on the pages read. Test it. Quote the invoice number with each payment.4 |
Sample data, not a client’s. Use one maintenance invoice, INV-5101, for $1,840.00 on Job 2101, with no tax calculation, in demonstration files and with a mailbox you control. Record each product, plan and screen beside the evidence. MYOB documents browser and desktop steps separately, so keep them apart.1
Check the recipient before you send
Intended recipient
The person who pays the invoice: billing contact A.
Saved contact
The person who booked the work: site contact B, saved on the customer.
Office copy
A copy to your own mailbox, so you can see exactly what was sent.
The person who booked the work is often not the person who pays. Xero’s invoicing guide says to “Ask where to send the invoice”, because the invoice “probably needs to go to an accounts department”.4 Xero also reuses stored contact details.6 Hold the invoice when the saved contact is not the billing contact.
Check what arrived
| Evidence | MYOB run | Xero run |
|---|---|---|
| Sent copy | INV-5101, $1,840.00 | INV-5101, $1,840.00 |
| Your copy | Kept | Kept |
| Billing mailbox | Opens for contact A | Opens for contact A |
| Job reference | Job 2101 shown | Job 2101 shown |
These are targets, not measured results. Save the copy the customer received beside the copy you sent, because a status that says “viewed” does not tell you who viewed it. A correct amount sent to the wrong contact still fails.
For a fuller rehearsal, use the Invoice Check acceptance cases.
Apply the part payment once
A$ · orange: still owing
INV-5102 is also $600.00 and must stay untouched.
Illustrative figures, not client data.
Give the bookkeeper the payment date, the bank account and the invoice number. MYOB’s help says to ask customers to “quote your invoice number” so payments are identified quickly.1 Record a $600.00 part payment. Add a second open invoice, INV-5102, also $600.00. Applying the receipt to the wrong one is the test. AccountRight’s bank feed help says a bank transaction and an AccountRight transaction “are matched if they have the same date and amount”, and with two identical transactions “a match won’t happen”.7 A same amount is a reason to look, not proof.
The checklist before you choose
- Recipient. The invoice went to billing contact A, not site contact B.
- Copy received. The customer’s copy matches the sent copy.
- Reference. Invoice number and Job 2101 on every payment and copy.
- Balance. $1,840.00 less $600.00 shows $1,240.00 owing.
- Second pair of eyes. Another office user repeats the check from your evidence.
Pick the product whose handover your office can repeat without a workaround. Record who owns each manual fix.
Where a person stays in charge
Rules check
Invoice number, job reference, total and balance, the same way every time.
Claude drafts
A one-line note when a check fails. It cannot send or allocate anything.
You decide
Your office chooses the recipient and the invoice a payment clears.
I build workflows around the accounting software a business already uses, where rules compare references and totals and a person approves the send and the payment. The nearest fixed-price build is Invoice Check, which checks job invoices before they reach Xero or MYOB, at A$3,900 (AUD, no GST charged).8
If you cannot tell which handover to fix first, start with a Workflow Audit for A$990 (AUD, no GST charged). It is a 60-minute call, a read-only review of your systems and a written report, with a fixed quote for each of the top 3 things worth automating.8 Start with a free fit check by email at the foot of this page.
Questions
Does this show which product is better?
No. It tests one invoice handover. Your other needs, such as payroll and job software, also count.
Can MYOB record a part payment?
Yes. MYOB’s help says a manual payment “might be a full or part payment”. Use the browser steps if you use MYOB Business in a browser.1
Does a viewed status prove the right person got it?
No. It shows the invoice was opened. Check the billing mailbox as a separate step.2
Should the part payment close the invoice?
No. In this sample, $1,240.00 should still be owing.
